Bring one concrete problem, not a feature wishlist

The most useful demos start from a specific pain: paper charts going missing, IEP progress reporting that gets rebuilt every cycle, parent communication, FBA and BIP documentation, or no district visibility across schools. Pick the one that actually hurts and lead with it. A focused problem turns the walkthrough into a fit test rather than a slideshow.

Invite the people who can judge fit

Most demos are most useful with SPED directors, school administrators, teacher leads, and a technology or compliance stakeholder in the room. The director sees the caseload and triennial pipeline, the teacher lead knows the daily workflow, and the tech or compliance person can speak to SSO and data access. Missing one of those usually means a second call to answer a question someone could have answered live.

Know what the 30 minutes covers

Expect a district rollup walkthrough on anonymized sample students, the SPED director view of caseload and the IEP triennial pipeline, a compliance segment on NDPA, DPA, FERPA, and your state addendum, pricing for your district size with procurement options, and Q&A. You do not need real student records; sample data is the point. Bring your tech director to the compliance and pricing portion if it helps.

Plan the step after the demo

If the workflow fits, the usual next step is a scoped pilot, a compliance review, and a seat or pricing conversation sized to your district. Knowing that sequence going in lets you ask pilot and procurement questions during the call instead of starting over afterward. Reviewing the sample evidence packet beforehand also makes the walkthrough faster, since you arrive already knowing the output you are evaluating.
